Billing Diagnostic (Fixed day rate)
A review of your billing operation, billed at a fixed day rate agreed upfront. The number of days depends on its size and how many contracts are involved. I look at where things usually go wrong, the contract and the system, then set out clear recommendations for fixing it. You'll walk away with a single source of truth document covering pricing, discounts, commissions and service-specific terms, so sales and finance are working from the same page. Not a 100-page report destined for a drawer.
Where it usually breaks, and how I fix it:
1. Contract — Pricing, discounts or commissions don't match what's actually agreed. (Incorrect pricing, margin drift, including reseller and commission structures, like the £22k/month caught this way in a previous role.)
2. System — The billing system isn't set up to reflect live contract terms. (Incorrect setup, incorrect billing.)
3. Remediation — A single go-to reference file covering pricing, discounts, commissions and terms, so everyone in the business is working from the same numbers. (Fewer surprises at renewal.)
Billing Systems Migration (Around three months)
Moving from spreadsheets, or from one billing system to another, is where things go wrong quietly. I set contracts up correctly in the new system, then check billing against them over a monitoring period, typically around three months, to make sure everything that should be billed actually is. Standard practice for a clean handover, not a guess. Billed per day, with more days needed during setup and fewer through the monitoring period.
ONGOING SUPPORT
Fractional Billing Support (Shaped around your needs)
Ongoing, part-time ownership of your billing operation, whether that's one day a week or several, agreed based on what you actually need. This covers day-to-day billing, invoice chasing, card reconciliations and accounts receivable, but also the things that quietly slip, like renewal dates that don't get tracked properly as you scale. This normally follows a billing diagnostic, or a few days upfront to get familiar with your contracts and systems, so I can step in as an actual owner rather than guessing. Usually starts as an initial three-month fixed-term contract, renewed as needed.
Interim Cover (Sized to the gap)
Cover for a seat that's empty, sized to the workload rather than a fixed shift, for maternity leave, notice periods, or a hiring gap. I work flexibly and remotely to get through what needs doing, so your billing keeps running properly while you're between permanent people. No handover chaos, no backlog waiting for whoever starts next.

Reporting & Forecasting (Add-on)
Billing data isn't worth much if you can't trust it or act on it. As part of an engagement, I build reporting like:
Forecast vs. actual billing, so you can see exactly where the numbers diverge, whether that's a system error, a contract upgrade or downgrade, churn, or additional charges, and fix the cause rather than just the symptom.
A deferred revenue schedule, so you can see what your income looks like if nothing renews and no new deals close, an early warning system for what happens if the pipeline stalls, not just a nice-to-have.
Renewal tracking dashboards, so renewal dates are visible before they're missed, not after.
A PO tracker, so you always know how much is left on each PO and can request the next one proactively, rather than waiting for the customer or reseller to get round to it, getting money into the business sooner.
A contract risk matrix, an operational view, not a legal one, so you know you're charging what you should be, delivering everything you're contractually obligated to, and aware of the risk if an SLA is ever missed, before the client is.
Usually built in Excel and Power Query, largely automated so it stays current without manual upkeep each month. Particularly useful if you're heading toward a fundraise and want numbers you can trust. I'm actively building a portfolio in this area, so early projects come with extra attention and flexibility on scope.
